CATOS works, then this user manual takes you
through the step-by-step process of using our website.
Browse through all of the web pages that are available with
general instructions and terms to better understand our website. You will
easily find the links on almost all of our pages. These web pages will
help you to better understand our rate structure and how to obtain just the
right rate for your needs. There are never any “hidden” costs, and for
our low rates, you will receive a quality end product.
Once you understand the rate structure, in order to view the
rest of the process, you need to register, using our easy registration process
available on the homepage.
Click on
“Register” in order to begin the
registration process. Fill out your basic details, and our system will
ask you to pay an initial, one-time registration fee to avoid misuse of the
website and to create your own disk space on the server in order to store your
voice files and transcribed files.

Please read the terms and conditions before registering and
click on
“Submit.” You will be taken to a
secure payment gateway, where you will be prompted to enter your credit card
information for the one-time registration fee. Subsequently, the account
will be activated by the Admin in 10 minutes to 48 hours. Once you
receive your password, you will be asked to log in to begin using our services.
Log in with your Email I.D. (username) and password. If
you forget your password, you can also click “Forgot Password,” at which time
your password will be mailed to you.

Once your username and password have been authorized, you will
be allowed to enter the authorized control panel of transcription. You will be
taken to the homepage of your Account:

You can now upload the voice files. If you are unable to
upload the voice files, simply drop us an email, along with the info, including
the extension of the file, so that we can add that extension in our trusted
list.
To upload a new voice file, click on
“Upload Voice File.” You will now
be taken to a powerful upload interface created in Java. The interface
will prompt you to download the latest version of Java so that it is visible in
the system. Once you download the applet one time, you can use the applet
any number of times. Using this applet, you can begin uploading the
files. Make certain that once you click
“Proceed”at the bottom of the page
that your voice files are available in the combo box to select. This
confirms that we have received your voice files.

Click on
“Upload” or use the right-click option
in order to upload any voice file for transcription.

Two precautions you need to take while uploading :
-
Upload files one after the other and do not try to upload the entire folder
with a single click. This will increase the load on the server, which, in
turn, may result in the loss of data.

Make certain that the filenames do not have embedded spaces. We recommend
removing the blank spaces and replace them with an underscore.
You will now see a progress bar, showing the progress of your
upload. Wait until your file is uploaded 100 percent and click on
“Proceed.” Upload as many files
as you like in one session.


Once your voice file has been uploaded, you will need to click
on
“Add File Details.” You will
need to select turnaround time and number of speakers using the drop-down
options. You will also fill in the estimated or true number of minutes of each
file and add any special instructions to the transcriptionist, if any.
Once you have entered all the file details, a window will open
with the message
“File Details Added.”
You will see a list of all files you have uploaded. Select
a file from the drop-down and click on
“Update.” If you are not
happy with the file, you may then click on
“Delete.”
and begin a new calculation.

Once the file details are correct, click on
“Click here to pay advance”to pay
the advance amount.
Remember, your files will not be considered for transcription until you pay the
advance.


After the payment, you will return to the site, and you will see
the following message:

Once you see this window, make certain that you note the Receipt
I.D. for future use. Once payment is complete, your voice file will be assigned
to one of our highly skilled transcriptionists for completion.
You will receive an automated email once your transcript has been completed, oftentimes sooner than your turnaround option.
Once the processing of your voice file is complete, all of the voice files will
be joined with their respective transcribed files. The status of the
voice files can be viewed by clicking on "View Files." You
will be able to see the complete file details, along with the turnaround time
and duration. This displays the balance. Once the balance amount
has been cleared, you will be able to download that file from the system for a
period of two months at any time, after which the website owner has the
privilege of removing the transcribed documents for the sake of efficient
storage space and confidentiality purposes.

Upon clicking
“Click to Pay,”you will be taken
to our payment gateway, where you will pay for your transcript. Had you
paid the advance, then you will be asked to pay the remaining balance.
Once you have paid, the transcribed file will be emailed to you through
our automated system. This may take some time due to payment
verification. Make a note of the Receipt I.D. for further reference.
Should you face any problems in the payment process, you may contact the
website owner at any time so that we can guide you through a successful
completion.
Once you have paid for the file, you may download it from our site for a period of two (2) months without paying. Go to View files -->


Click on "Click Here to Download File".
You will see all the files for which you have paid.

Lastly, right-click on
“Download File”
and select
“Save Target As”
to obtain the transcribed file. You now have your professionally
transcribed document.
